Senior Vice President, Whitehead Center for Mentoring Partnerships
SPECIAL FOCUS: Whitehead Center for Mentoring Partnerships
SUMMARY: In collaboration with State and Local Mentoring Partnerships, develop and implement strategies consistent with MENTOR's strategic plan for expanding support to existing, as well as future, SMPs and LMPs, creating a nationwide service distribution system aimed at closing the mentoring gap. The ultimate goal of this position is to facilitate stronger Mentoring Partnerships, and thereby local program infrastructure, to double outreach, affecting between 50 percent and 60 percent of America's at-risk youth within the next five years.
RESPONSIBILITIES:- Works collaboratively with SMPs to assess needs and develops a comprehensive strategy to grow, expand and support existing, as well as developing future, SMPs in all 50 States and the District of Columbia.
- Working collaboratively with colleagues, cultivates and maximizes private and public sector funding opportunities to support SMPs.
- Strengthens and facilitates two-way communication that will enhance MENTOR's effectiveness in helping Partnerships reach local and national goals.
- Through the network of SMPs, develops a delivery system for MENTOR products and services.
- Serves as the chief advocate and liaison to senior policy staff in federal and state governments in communicating MENTOR's efforts to expand mentoring.
- Works with Vice President of Resource Development to create strategies for broadening the organization's base of support for the SMPs and the Whitehead Center.
- Leads, motivates and coaches staff on a day-to-day basis; guides direct reports in meeting their professional development needs.
- Develops and effectively manages department budget.
- Serves as advocate for department throughout organization.
- Performs other special assignments as requested by the Board and Executive Director.

QUALIFICATIONS:
- Bachelor's degree required; advanced degree preferred.
- Minimum 10 years professional experience to include strategic planning and management of staff and programs. Prior experience as part of a senior management team preferred.
- Exceptional leadership skills; sufficient breadth and depth of experience to provide leadership for a network of independent Mentoring Partnerships, each led by influential state and local leaders. Ability to act as professional role model for staff, managing information discreetly and effectively.
- Outstanding organizational skills; willing to get involved in detail and hands-on management.
- Proven track record in strategic planning and success in plan implementation.

Product Support Manager
SUMMARY: This brand new position presents an exciting opportunity for a highly organized and motivated individual to put outstanding administrative and project management skills to use. You can facilitate the success of youth mentoring programs across the country by providing support on MentorPRO, a newly launched Web based evaluation and tracking tool for mentoring programs. This product, already enthusiastically received, was designed to help programs improve their success rate through better management of data, mentoring relationships and outcomes. Although this is not a technical position, ideal candidate will have a strong knowledge of and demonstrated ease in learning and using new online applications, and in responding to user inquiries clearly and concisely.
SPECIAL FOCUS: MentorPRO is a Web based evaluation and tracking tool, designed to help mentoring programs track and access data to better manage their Programs, manage mentoring Relationships and evaluate Outcomes. This position provides administrative and program services support to Mentoring Partnerships and mentoring programs that use MentorPRO.
RESPONSIBILITIES:
- Establishes frequent and proactive communication with MentorPRO users to ensure they understand system benefits and requirements.
- Provides ongoing support and responds to users' queries on all aspects of MentorPRO.
- Manages the accounts and records of users to include updates, revisions, deactivation of program records and review of internal lists.
- Maintains log and identifies trends in user feedback to support system upgrades and enhancements.
- Assists in creating, editing and proofing correspondence, enrollment materials, web-based documents and related materials.
- Assists the Director, MentorPRO with other daily administrative and support functions, including responding to telephone calls and requests; coordinating and producing mailings; sending and tracking invoices; and other general word processing, photocopying and faxing tasks.
- In conjunction with NMI, identifies and develops additional opportunities for MentorPRO development and expansion.

QUALIFICATIONS: Bachelor's degree preferred and 2-4 years administrative experience with progressively increasing responsibilities. Meeting Logistics Manager
SUMMARY: Responsible for managing meeting logistics and coordinating correspondence with advisory council and steering committee members. Provides support to various projects and initiatives in Online Services.
RESPONSIBILITIES:
- Coordinates communication and outreach efforts with advisory council and steering committee members regarding their roles and responsibilities in producing the third edition of Elements of Effective Practice, a resource handbook for mentoring programs nationwide.
- Manages meeting logistics for three in-person meetings per year, as well as multiple online meetings and internal meetings.
- Oversees the production and distribution of meeting materials and documents.
- Assists in creating, editing and proofing correspondence, meeting materials, web-based documents and related materials.
- Provides on-site support to staff and members during meetings to include registration, set-up and assistance.
- Manages relationships and monitors activities of vendors (e.g. hotels and travel agency).
- Reviews and processes hotel and vendor invoices for all meetings.
- Collects and manages feedback from the working group on their recommendations for the Elements of Effective Practice, third edition.
- Coordinates outreach efforts to build awareness and implementation of the new Elements of Effective Practice throughout the mentoring community.

Accounting Assistant
SUMMARY: Primary responsibility is to perform voucher payment support for the Caregiver's Choice program, funded by a grant from the Department of Health and Human Services. As time permits, assist the accounting department with other functions listed below.
RESPONSIBILITIES:
Caregiver's Choice Program
Voucher Payment:
- Review payment authorizations from project staff and verify that appropriate documentation has been received regarding payment amount, voucher ID reference, and mentoring program.
- Prepare batches of payments for processing through MentorPRO Basic software and verify payment information.
- Work with accounting staff to process drawdown requests.
- Issue payout files and reports; transmit to payment system.
- Monitor distribution of funds to ensure timely and secure payment.
- Prepare list of outstanding checks at end of each month; follow up on returned payments.
- Reconcile general ledger with MentorPRO Basic records.
- Handle inquiries from mentoring programs and Caregiver's Choice staff about payment history and check status.
Other Functions
Cash Receipts:
- Code cash receipt batches and enter into Sage MIP Fund Accounting software (MIP).
- Print cash receipt reports and review for accuracy.
Credit Card Transactions:
- Process credit card transactions and distribute reports to appropriate departments.
Accounts Payable:
- Assist Project Manager, Finance in coding and reviewing check requests.
- Enter batches into MIP.
SafetyNET:
- Assist in coding of SafetyNET prepaid account transactions.
- Generate monthly journal entry for prepaid account activity and input entry into MIP.
- Reconcile prepaid and liability accounts balances to the SafetyNET database.
Other Responsibilities:
- Other duties and special projects as assigned.
SUPERVISION: Reports to the Director of Finance. In addition, takes direction from Senior Vice President for Public Policy, who has oversight of the voucher payment system.
QUALIFICATIONS: Bachelors or Associates Degree (at least two accounting courses), minimum 3 years of accounting experience, proficiency in Microsoft Excel and either MIP (preferred) or another accounting software package.

Staff Accountant
SPECIAL FOCUS: Accounts Payable, Payroll, & General Ledger
SUMMARY: Responsible for payroll, accounts payable and other designated accounting functions for a 501(c)(3) organization.
RESPONSIBILITIES:
Payroll: Processes and distributes semi-monthly payroll through ADP. Updates employee records for payroll-related changes. Processes year-end W-2 information, reviews ADP prepared W-2 forms and distributes them to employees on or before the reporting date. Compiles 403(b) schedules & assists HR Director with compliance audit of the MENTOR 403(b) retirement plan.
Accounts Payable:
- Works with other staff members in Alexandria and the New York offices to ensure that requests for payment:
a. Comply with organization's policies, including the competitive bidding rules.
b. Comply with IRS rules for business expenses.
c. Have adequate documentation to support payment.
d. Are coded to an active budget line with adequate dollars remaining.
e. Have the required approvals. - Ensures that accounts payable are properly recorded and paid timely in the correct amount.
- Records the day's checks issued on the running cash balance worksheet. Follows up on checks that are outstanding more than thirty days and voids checks that are outstanding more than one year from issue date.
- Prepares 1099s; establishes systems that identify vendors and payments subject to tax reporting, and ensures that correct tax forms are issued on or before the reporting date.
Contracts: Maintains the organization's online log of active contracts and the organization's file of original active contracts. Responsible for ensuring consultants are evaluated and payments to contractors are made in compliance with their contracts. Prepares the annual list of contracts for the Board of Directors.
Cash Management: Records cleared checks in the MIP accounting software. Assists with data entry of designated cash receipts.
Audit: Prepares audit work papers and reconciliations in the A/P, payroll and contracts areas. Maintains up-to-date A/P and contract records adequate to support audit.
Budget: Assists with data entry of budget into MIP accounting software, setting up budget spreadsheets in Excel, and reviewing budgeted expenditures.
State Registrations: Completes registration forms for states in which MENTOR is registered as an active charity.
General Ledger:
- Prepares the following month-end journal entries:
a. Payroll
b. Prepaid expenses
c. Inventory
d. Benefit allocations - Performs the following General Ledger reconciliations:
a. Benefits receivables
b. Metrocheck receivables
c. Employee receivables
d. Prepaid accounts
e. Inventory
Other Responsibilities: Decides on procedures and methods to achieve excellence in work product. Troubleshoots problems in all areas of responsibility. Keeps the Controller informed on open issues. Distributes monthly financial statements to department heads. Other duties and special projects as assigned.
SUPERVISION: Reports to Controller
QUALIFICATIONS: Bachelor's degree in accounting preferred, minimum two years of accounts payable experience and minimum one year ADP payroll experience. Additional experience plus a minimum of three accounting courses may substitute for degree requirement. Proficiency in Microsoft Excel and either MIP (nonprofit version of Sage) or another accounting software package. Must be well organized with excellent attention to detail. Strong communication and interpersonal skills are required to communicate effectively with employees at all levels on payroll and A/P issues.

Summer Internship, Marketing and Communications

SUMMARY: MENTOR/National Mentoring Partnership is currently offering an unpaid summer internship. It will have a minimum of 20 hours per week, Monday through Friday, but flexible days and hours.

LOCATION: AmeriCorps* VISTA volunteers will be assigned to a State Mentoring Partnership office. These State Mentoring Partnerships provide critical hands-on training and technical assistance for mentoring organizations.

RESPONSIBILITIES:
- Assist MentorPRO® users (staff and program providers) in the enrollment process and perform data entry of mentoring program information.
- Provide training and technical assistance to Mentoring Partnership staff and programs on all aspects of MentorPRO®.
- Manage the accounts and records of users to include updates, revisions, deactivation of program records and review of internal lists.
- Assist staff in analyzing data gathered through MentorPRO®.
- Conduct quality reviews of individual mentoring programs to identify areas for improvement.

- Recommend strategies to expand use of MentorPRO® throughout the state or related geographic areas.

Project Coordinator, Mentoring Partnerships and Public Policy
SUMMARY: The Project Coordinator is responsible for providing administrative support to the Whitehead Center for Mentoring Partnerships and State Affairs, and to the Institute for Public Policy and Government Affairs.
RESPONSIBILITIES:
Whitehead Center: (70-80%)
- Keeps accurate and up-to-date database for state and local Partnerships, inactive Partnerships, and potential Partnerships.
- Handles initial calls from individuals interested in starting a Partnership; determines what follow-up is needed; sends informational packets.
- Responds to questions and concerns from the state and local Partnerships.
- Coordinates all meeting logistics and materials for internal and external meetings.
- Processes expense reports for team members.
- Assists in creating, editing and proofing correspondence, conference materials, web-based documents and related materials.
- Assists with other daily administrative and support functions, including responding to telephone calls and requests and other general word processing, photocopying and faxing tasks.
- Performs other duties and projects as assigned.
Institute for Public Policy: (20-30%)
- Prepares materials to be used in Hill visits that convey the status of mentoring within the Member’s state or district.
- Provides general administrative support to Public Policy staff, including preparation of expense reports, mail merges and mailings.
- Serves as a back-up on daily responsibilities of the Project Coordinator of Safety Net, a program that provides background checks on potential mentors.
SUPERVISION: Reports to the Special Advisor, Whitehead Center
QUALIFICATIONS: Bachelor’s degree and 2-4 years administrative experience with progressively increasing responsibilities. Strong organizational, interpersonal and written communications skills and attention to detail required. Must be accustomed to working at a fast pace and juggling several assignments simultaneously. Must also possess strong word processing, database management, editing and proofreading skills. Successful candidate will be a motivated self-starter and be comfortable working with more than one supervisor. The ability to handle and maintain confidentiality of sensitive material is essential.

Project Coordinator, SafetyNET Program (Temporary)
SUMMARY: SafetyNET is a program administered by MENTOR that provides background checks on potential mentors for programs across the country. The Project Coordinator administers all components of the process and provides customer service to SafetyNET users. This is a 5 - 6 month temporary position with the potential for extended employment.
RESPONSIBILITIES:
- Completes daily intake and processes background check requests for SafetyNET program:
- Picks up fingerprint packages from post office
- Logs each submission into the web database, verifying that each background check request is complete, and matches the information in the web system.
- Handles payment for each background check request – verifies proper amount received, enters into payment database, reconciles the day’s payments received, scans checks, emails receipts to customers, and submits report to accounting.
- Communicates any questions or potential problems with background checks to supervisor.
- Responds to any requests from the National Center for Missing and Exploited Children (NCMEC) for any missing personal information on the fingerprint cards.
- Sends completed batch of fingerprint submissions by Fed Ex to NCMEC.
- Processes SafetyNET results:
- Monitors results received from NCMEC.
- Posts updates to SafetyNET site for all results received.
- Tracks which results have not yet been received and coordinates with NCMEC to ensure that all results are received within one week.
- Handles spare fingerprints – either resubmitting them for processing or shredding.
- Provides excellent and timely customer service to users of SafetyNET.
- Utilizes program knowledge to respond to routine e-mail and phone inquiries about program procedures.
- Handles requests for additional copies of background check results, additional fingerprint cards, and receipts.
- Performs other miscellaneous tasks:
- Researches and approves or denies programs that apply to join SafetyNET.
- Sends weekly updates to NCMEC on any new approved programs or changes to existing programs.
- On a weekly basis, logs in requests for full criminal histories and sends to the FBI.
- Responds to requests from the FBI for correct contact information and identification numbers on any individuals requesting full criminal histories.
- Work with the accounting department to reconcile the monthly FBI bill.
SUPERVISION: Reports to Vice President, Public Policy and Government Affairs
QUALIFICATIONS:
- Above all, individual must be very detail-oriented and extremely accurate in their work.
- Associate’s degree preferred.
- Minimum two years administrative support experience.
- Must have strong computer skills, including Microsoft Word and Access and be comfortable using the Internet.
- Must have strong data entry skills and experience processing payments.
- Must have the demonstrated ability to manage and maintain the complete confidentiality of sensitive information.
- Must have experience providing friendly, timely and accurate customer service.
